Turn customer calls into reviewed notes and follow-ups
Carry decisions and promised next steps from a call transcript into the account record and task tracker.
Target user
Customer success managers balancing recurring calls across many customer accounts.
Trigger
After a customer call, especially when notes and tasks otherwise get entered later in a batch.
Why run it repeatedly
Potentially after each customer call. Validate call volume, current note completion delay, and correction time with CSMs.
What you receive
A source-linked call summary, explicit customer commitments, owner/date gaps, and drafts for account notes and follow-up tasks.
Pain evidence
First-person CSM reports describe repetitive manual logging and follow-up across many calls. Sample size is small; segment and enterprise-plan needs are untested.
Alternatives and remaining gap
Fireflies already summarizes meetings and supports integrations; CRM-native note automation may be more reliable. AI helps extract contextual commitments and resolve references, but exact account matching and task deduplication should be deterministic.
Execution flow
- Search Fireflies for the meeting by date, title, and participant; confirm the correct transcript before using it.
- Extract decisions, customer-stated needs, promises, owners, due dates, and timestamps with transcript citations.
- Search Notion for the account page and Linear for existing open tasks; match by stable account/project identifiers.
- Mark inferred owners and dates as unknown; flag transcript disagreements instead of resolving them silently.
- Preview account-note and task drafts; write only after human approval and retrieve each created record to verify.
Required tools
- Fireflies: fireflies_get_transcripts, fireflies_get_transcript, fireflies_get_summary
- Notion: notion-search, notion-fetch, notion-create-pages
- Linear: list_issues, create_issue (after approval)
Prerequisites and costs
Fireflies account with transcript access and OAuth; Notion and Linear access; meeting capture and consent already handled by the user's organization. Fireflies transcript/API quotas depend on plan. Client must support multi-server chaining and confirmation.
Run this prompt
From the Fireflies call [meeting ID/date/title], prepare a source-linked account note and proposed internal follow-up tasks. Verify account identity against [Notion page]. Quote or cite transcript timestamps for commitments. Do not infer a promise, owner, or due date. Check Linear for duplicates. Show drafts only; do not send email or write records until I approve.
Review checkpoints
Review the customer/account match, transcript accuracy, sensitive details, and every promised commitment before saving a note or creating a task. Customer email stays a separate reviewed action.
Limitations
Fireflies marketing describes its own product and does not prove unmet demand; first-person CSM discussions support the manual burden. CRM integration may already be better. MCP does not itself join calls or run after a meeting without an external trigger/runtime.
Manual work and missing capabilities
Customer/account mapping, transcript consent and retention policy, CRM fields not covered by Notion, and a human check of each extracted commitment.
Failure handling
Use bounded retries for read failures and mark partial results incomplete. Keep source record IDs and links. Do not guess across missing or conflicting identifiers. Search for an existing target record before any approved write, then retrieve it to verify.
Pilot acceptance criteria
Every commitment in a sample has a transcript timestamp; no invented owners/dates; existing tasks are not duplicated; no write or external message occurs before approval.
Product fit
MCPfolio recipe, read-only first. Package only if a user base needs durable post-call triggers and CRM-specific connectors.
Demo storyboard
Use a synthetic transcript with one explicit commitment, one ambiguous owner, and an already-open task; show cited drafts and the duplicate check.
Official sources
Pain reported by users; official tool docs/catalog checked; workflow not runtime tested
